Export your order data to CSV or Excel format for use in spreadsheets, accounting software, data analysis, or backup purposes.
When to Export Orders
Common reasons to export orders include: - Accounting and bookkeeping - Financial analysis and reporting - Inventory management - Customer relationship management (CRM) - Data backup - Integration with external systems - Custom analysis and reporting
Exporting Orders
Step 1: Access the Export Function
- Log into your seller area at seller-area.youcan.shop
- Navigate to Orders > All Orders
- Click the "Export" button in the toolbar
Step 2: Select Export Fields
A dialog will appear allowing you to choose which fields to include in your export:
Standard fields available: - Order reference number - Creation date - Customer name - Customer email - Customer phone - Confirmation status - Payment status - Shipping status - Order total - Currency - CouponTotal (discount amount applied) - Shipping address - Billing address - Product names and SKUs - Quantities - Unit prices - Payment method - Shipping method
Step 3: Choose Export Format
Select your preferred file format: - CSV (Comma-Separated Values): Compatible with all spreadsheet applications - Excel (.xlsx): Native Microsoft Excel format with formatting preserved
Step 4: Download the File
- Click Export or Download
- Your browser will download the file to your default download folder
- The file will be named with a timestamp (e.g., "orders_2026-04-12.csv")
Using Your Exported Data
In Spreadsheet Applications
- Open the downloaded CSV or Excel file in:
- Microsoft Excel
- Google Sheets
- LibreOffice Calc
- Apple Numbers
- Organize, filter, sort, and analyze the data as needed
For Accounting Software
Import the exported file into your accounting software: - QuickBooks - Xero - FreshBooks - Wave - Your company's internal systems
For CRM Integration
Use the exported customer and order data to: - Update your customer database - Segment customers for targeted marketing - Track customer lifetime value - Identify repeat customers
Understanding Export Fields
CouponTotal
The CouponTotal field shows the discount amount applied to each order. This includes: - Promotional codes - Store-wide discounts - Cart-level discounts - Coupon redemptions
CouponCode
Note: The CouponCode field (the actual coupon code text) is currently planned for a future update and is not yet available in exports.
Tips for Exporting Orders
- Export regularly for backup purposes
- Include only the fields you need to reduce file size
- Use filters to export specific date ranges or order statuses before exporting
- Store exported files in a secure location for compliance and audit purposes
- Label exported files with dates to track historical data
- Export after each business period (daily, weekly, monthly) for record-keeping
